CCYL October Board of Directors Meeting
The next meeting of the CCYL Board of Directors will take place Sunday, October 21, 2018 at 7:00 pm. Elections for open board positions will also take place during this meeting. It will be held at the Waldorf Jaycees. The following positions are open, with descriptions below:
The Vice President shall:
a) Perform the duties of the President when the President is unable to attend meetings and/or functions, or is physically unable to perform required duties.
b) Act as the Director of Public Relations.
c) Oversee letter writing to members, players, associated members, and sponsors.
d) Receive and coordinate incoming communications for response or delegation to appropriate parties.
e) Obtain proper accident and liability insurance coverage for the protection of league players and volunteers.
f) Process accident claims within the League in a timely manner, maintain records of injuries and incidents, and file necessary claims with the insurance companies.
The Secretary shall:
a) Be responsible for recording the activities of the League and maintaining appropriate files, mailing lists, and necessary records.
b) Keep an up-to-date record of all paid members.
c) Perform such duties as described herein, in addition to other duties that may be assigned by the President and/or Board.
d) Give notice to Board members of all meetings of the League including the date, time, and location.
e) Keep minutes of the meetings of the Board, and publish and distribute the minutes of the meetings and other required information.
f) Conduct all correspondence not otherwise specifically delegated in connection with said meetings and carry out all orders, votes, and resolutions.
g) Facilitate the communication of the League and Public Facilities for permits, field allocation, and schedules.
h) Oversee the final League schedule submitted from the Commissioners to make sure no conflicts arise with duplicated games on the same field.
i) Retrieve all incoming phone calls and respond or disseminate messages as necessary.
The Equipment Manager shall:
a) Procure and distribute equipment, uniforms, etc.
b) Be responsible for keeping a complete inventory and custody record of all League equipment.
c) Supervise adequate storage of all equipment between playing seasons.
d) Keep the equipment storage facilities in a neat, clean order.
e) Solicit bids for replacement and/or additional equipment if directed by the Board.
f) Submit anticipated cost of equipment expenditures to the Board for review and approval.
Umpire in Chief
The Umpire in Chief shall:
a) Supervise the training of all staff umpires
b) Schedule umpires for all league games.
c) Reschedule umpires if games are rained out or canceled.
d) Visit home game sites to observe the game for rules violations or misinterpretation of rules.
e) Conduct clinics on rules and field positions, including making sure umpires know proper protest procedures.
f) Recruit new umpires.
g) Publish umpire policy guidance to umpires to include pay rates, proper dress and proper conduct for umpires.
Division Commissioners (Babe Ruth Baseball, 12U Baseball, 8U Baseball, T-Ball)
Commissioners are used in T-Ball and all age-related Divisions for boys and girls up through age 19. The bullets below apply to each Commissioner’s respective Division when applicable. The Commissioners shall:
a) Understand and know the games of T-Ball, baseball, and/or softball.
b) Have a solid background in the rules and regulations as set forth in the Babe Ruth League Rulebook.
c) Be the administrative director.
d) Direct tryouts and evaluations of players.
e) Screen candidates for position of Manager or Assistant Coach and submit names to the President for Board approval.
f) Aid the Player Agent in overseeing the Draft.
g) Distribute permits to Managers and oversee all field allocation.
h) Make season and post-season game schedules.
i) Be a sounding board for managers and coaches in resolving League issues which arise during the season.
j) Assist the equipment manager in the control and allocation of League assets, such as pitching machines, bats, balls, catcher’s equipment and uniforms.
k) Direct field preparation and maintenance at fields not covered by Public Facilities.
l) Randomly monitor games and practice sessions to ensure safe field playing conditions.
m) Provide information to respective All-Star coaches pertaining to State, Regional, and National tournaments.
n) Represent the Division at Board meetings.
o) Manage any trustees involved in overseeing Divisions.
p) Initiate, supervise, and coordinate safety programs within the League.
